Database server (offline) help

hello,
i have a problem at work, i work in a registry department which every day i have to acquire and register huge amounts of data. my problem is that i do not understand the mechanism of neither the software we use nor the hardware equipment possibilities and limitations.

in my department there are about 8 computers connected to a server hidden in a closed room. the" computers " are of course just a screen ,keyboard ,and mouse each connected to a square plastic peace that is connected back to that so called server in that forbidden room,when we turn on the computers (from that plastic square peace) it runs a screen that asks to connect or refresh or options,when i click connect a windows XP logon screen appears (slightly different then the XP i know) and when i insert the password an XP desktop appears,and the "program" we use to insert data into the database or acquire them is just a web shortcut on the desktop that opens internet explorer window,with logon information embedded in a web design of our employer,and here is where i need help,because this system of registry and acquiring makes a lot of mistakes and errors and cause headache specially when it comes to lookup of information we need as the search method is very stiff and time consuming and when it happens that a lot of employees insert data carelessly they do spelling errors which makes finding the needed information nearly impossible or time consuming,and i wont start about the entry mechanism that needs too much steps and scrolling.

i just want to know the kind of equipment we use ,type of network and database management system,what we can upgrade or migrate to (if we could) and if we can install smart search engines (maybe use google's ?) or use another program then IE or web because they make a lot of connection errors and mistakes...i just feel that this department system and equipment are from 1980's and not suitable in 2014.

Don't you have an IT department that can answer all those questions?

Even if we could help (which, frankly, we can't) it's obvious from your post that you're not an IT expert. Neither your manager, your IT department, nor your CEO is going to take any proposal from you to overhaul their IT infrastructure seriously.

And slagging off your colleagues--telling everyone that they're incompetent and will ***** everything up unless the company buys new computers--isn't going to win you any support from anyone.

FWIW, there are alternatives to Windows XP such as Windows 7 or 8; there are alternatives to IE such as Chrome, Firefox, Opera, Safari,... ; and you can have google search on your local data.

But as for the data entry system you're using--we're not mind readers. Maybe it is off-the-shelf, maybe it is custom built. Maybe it will run on newer support software, maybe it won't. Maybe there are newer versions available, maybe their aren't. Maybe it is easy to change, maybe it isn't. Who knows? We certainly don't.

Thank you people for your help, i just now talked to my boss, and she promised me she will let me in all the details that i would need and that she wouldn't mind change for the better if it was suitable. Just when I meet the IT administrator i will get all the information we need and question the options here,we wouldn't trust him with it because of a long story concerning corporate corruption and "nepotism" if i am using this word right.
i am sorry i posted the thread yesterday without information i was eager to start and i didn't know anything.
